Guide for clinics

How to reduce missed appointments in a clinic: 8 measures that work

Every patient who does not turn up leaves an empty hour in the diary, a practitioner waiting and a treatment delayed. The good news is that most no-shows are not bad faith but forgetfulness and late cancellations, and that can be fixed. This guide covers the measures that work best in dental, physiotherapy and aesthetic clinics and beauty salons, and how to apply them without overloading reception.

First, put a number on the problem

Before changing anything, find out what no-shows cost you today. Four figures are enough: appointments per month, percentage of no-shows and late cancellations, average value of a visit and how many of those slots you manage to refill. Our missed appointments calculator gives you the answer in a minute, in euros per month and per year. That number is your baseline to check whether what you do works.

Why patients miss appointments

  • They forget. Especially when the appointment was booked weeks ago or is a check-up.
  • Cancelling is a hassle. If changing the appointment means calling during reception hours, many simply do not come.
  • No commitment. The appointment was given by phone, with no written confirmation or reminder.
  • Unexpected events. Work, children, transport. You cannot avoid them, but you can spot them in time to refill the slot.

8 measures that work

  1. WhatsApp reminder with confirmation. A message 24 or 48 hours before with buttons to confirm, reschedule or cancel. WhatsApp is read far more than email and patients reply with one tap.
  2. Make cancelling easy. It sounds counterintuitive, but a timely cancellation is much better than an empty slot. If cancelling takes one tap, patients let you know instead of disappearing.
  3. Waiting list. When someone cancels, the slot is offered to patients who wanted an earlier appointment. A slot freed in time can almost always be filled.
  4. Double reminder for distant appointments. For check-ups and treatments booked weeks ahead: one when the booking is confirmed and another the day before.
  5. Online booking with instant confirmation. Patients choose their slot, get written confirmation and enter the reminder flow automatically.
  6. A clear cancellation policy. In writing, friendly and with no small print: how much notice to give and what happens otherwise. For long or high-value treatments, a deposit at booking sharply reduces no-shows.
  7. Watch repeat offenders. Flag anyone who has missed twice and call them before their next appointment. They are few patients but account for many no-shows.
  8. Measure every month. No-show rate, late cancellations and refilled slots. What is not measured creeps back up.

What to say in the reminder

Short, clear and without health data. An example that works well:

“Hi Laura, a reminder of your appointment tomorrow, Tuesday, at 10:30 at Example Clinic. Can you confirm? [Confirm] [Reschedule] [Cancel]”

We have 8 WhatsApp templates ready to copy for every moment: confirmation, reminders, waiting list, no-shows and recalls.

  • Patient name, day, time and location. The treatment is not needed, and for privacy it is better left out.
  • Buttons instead of “reply YES”, so confirming is instant.
  • If they cancel, a friendly message offering another date.
  • If they do not reply, an alert to reception to call a few hours before.

Reminders and GDPR

Appointment reminders are service messages linked to an appointment the patient requested, but it pays to do it properly: state in your privacy policy that you use WhatsApp to manage appointments, keep messages to what is necessary and use the official WhatsApp Business Platform, not unofficial apps. Marketing messages, such as promotions or reactivation campaigns, only to people who have given consent.

How to do it without overloading reception

All of these measures can be done by hand, but in a clinic with dozens of appointments a day they do not last. What works is automating them: the diary sends reminders, collects confirmations, frees cancelled slots, notifies the waiting list and leaves reception only the cases that need a call.

That is exactly what our all-in-one system for clinics does, with WhatsApp automation connected to your diary. See what it looks like in our websites and systems for clinics and check the plans in the pricing guide.

Frequently asked questions

When is the best time to send the reminder?

Between 24 and 48 hours before usually works best: there is time to refill the slot if the patient cancels. For appointments booked weeks ahead, add a message when the booking is confirmed.

WhatsApp, SMS or a phone call?

WhatsApp is the most read and lets patients confirm with a button. SMS works as a backup for people without WhatsApp, and calls are kept for those who do not confirm.

Can I take a deposit to book?

Yes, especially for long or high-value treatments. It must be in your cancellation policy, in writing and explained before booking.

Can I include treatment details in the reminder?

Better not. Day, time and location are enough. That protects the patient’s privacy if someone else sees their phone.

How much can no-shows be reduced?

It depends on each clinic and its starting point. What matters is measuring your baseline with the calculator and reviewing the figure every month after making changes.

Do I need to change my booking software?

Not necessarily. If your current diary can be connected, we can automate on top of it. If not, our all-in-one system includes diary, reminders and patient records.

We will show you in 15 minutes how reminders and the waiting list would work with your diary.
