8 WhatsApp templates to remind appointments and cut no-shows

Here are the messages that work best to get patients to confirm, tell you when they cannot come and avoid empty slots. They are free and need no sign-up: copy them, change what is in braces and start using them today on your clinic’s WhatsApp. At the end you will find when to send each one, what GDPR requires and how to automate them so reception does not have to send them by hand.

The 8 templates, ready to copy

Replace what is in braces: {name}, {clinic}, {day}, {time}, {practitioner} and {address}. Keep messages short and free of health data.

  1. Booking confirmation. “Hi {name}, your appointment at {clinic} is booked for {day} at {time} with {practitioner}. Address: {address}. If you need to change it, reply CHANGE and we will find you another time.”
  2. Reminder 48 hours before. “Hi {name}, a reminder of your appointment on {day} at {time} at {clinic}. Reply YES to confirm or CHANGE if you need another day.”
  3. Same-day reminder. “Good morning {name}, we look forward to seeing you today at {time} at {clinic}. If you cannot make it after all, let us know here and we will offer your slot to another patient.”
  4. Free slot for the waiting list. “Hi {name}, a slot has opened up on {day} at {time} with {practitioner}. Would you like it? Reply YES within the next 30 minutes and it is yours.”
  5. Rescheduling confirmed. “Done, {name}: your appointment is now on {day} at {time}. We will send you a reminder the day before.”
  6. First visit. “Hi {name}, tomorrow is your first visit to {clinic} at {time}. Please arrive 10 minutes early and bring your ID. How to get here: {address}.”
  7. After a no-show. “Hi {name}, we missed you at your appointment today. Shall we find another date? Reply with the day that suits you best.”
  8. Check-up recall. “Hi {name}, your check-up at {clinic} is due. Shall we book you in? Reply with the day and time of day you prefer.”

When to send each message

  • On booking: template 1 (or 6 for a first visit).
  • 48 hours before: template 2. It leaves time to refill the slot if they cancel.
  • Same day, in the morning: template 3, only to those who have not confirmed.
  • When someone cancels: template 4 to waiting-list patients, one at a time.
  • When rescheduling: template 5.
  • After a no-show: template 7 the same day.
  • Patients due back: template 8 when their check-up is due.

What you must comply with

Reminders for an appointment the patient requested are service messages, but it is worth doing them properly:

  • Tell patients, in your privacy policy and when booking, that you will use WhatsApp to manage appointments.
  • No diagnoses or treatments in the message: just day, time, clinic and practitioner.
  • Use WhatsApp Business or its official platform. For automated messages sent by the clinic, Meta requires approved templates.
  • Marketing messages (offers, campaigns) only to patients who have given consent, with a way to opt out.

This guide is for general information and does not replace your clinic’s legal advice.

By hand or automated

With a few appointments a day you can send them by hand. With dozens, reception cannot keep up and reminders stop going out on the busiest days. Automated, they go out on time, collect YES or CHANGE replies, free up the slot and alert the waiting list.

That is what our WhatsApp automation does, connected to the calendar of the all-in-one system for clinics. You can see the clinic plans and first work out what missed appointments cost you today. For more measures, read the guide how to reduce missed appointments.

Frequently asked questions

Can I use these templates for free?

Yes. You can copy them, adapt them to your clinic and use them without signing up or crediting us.

Is “reply YES” or buttons better?

Buttons are easier for patients but need WhatsApp Business with approved templates. If you send by hand, “reply YES or CHANGE” works well.

What time should reminders go out?

During reasonable hours, between 9:00 and 20:00, never late at night. The same-day reminder first thing in the morning.

Do I need the patient’s consent?

For reminders about an appointment they requested, it is enough to inform them that you will use WhatsApp to manage it. Marketing messages do need consent.

Can they be sent automatically?

Yes. With a system connected to your calendar, each message goes out on time and replies update the appointment without reception stepping in.

Want them to go out on their own?

We will show you in 15 minutes how these automated reminders would work with your calendar.
